Our Commitment

VitalCare Express is fully committed to maintaining compliance with the Health Insurance Portability and Accountability Act (HIPAA). We recognize the critical importance of protecting Protected Health Information (PHI) in every delivery we handle.

Administrative Safeguards

  • Designated Privacy Officer responsible for HIPAA compliance oversight
  • Mandatory HIPAA training for all employees and couriers before handling any deliveries
  • Annual HIPAA refresher training and competency assessments
  • Documented policies and procedures for handling PHI
  • Regular internal audits and risk assessments

Physical Safeguards

  • Tamper-evident packaging for all prescription deliveries
  • Temperature-controlled transport containers for sensitive medications
  • Chain of custody documentation from pharmacy to patient
  • Secure vehicle storage during transit
  • Signature and photo ID verification at delivery

Technical Safeguards

  • End-to-end encryption for all digital communications containing PHI
  • Encrypted data storage with access controls
  • Secure, auditable tracking systems
  • Automatic session timeouts and multi-factor authentication for staff systems

Courier Requirements

Every VitalCare Express courier must:

  • Pass a comprehensive background check
  • Complete HIPAA privacy and security training
  • Sign a confidentiality agreement and Business Associate Agreement (BAA)
  • Maintain proper identification while on duty
  • Follow documented chain of custody procedures

Breach Notification

In the unlikely event of a data breach involving PHI, we will notify affected individuals and the Department of Health and Human Services as required by the HIPAA Breach Notification Rule, within the mandated timeframes.

Business Associate Agreements

We maintain Business Associate Agreements (BAAs) with all pharmacy partners and any third-party vendors who may have access to PHI as part of our delivery operations.
